Can you email someone who is not a contact on a Bitrix24 deal?

Not with Bitrix24 on its own. The recipient picker on a deal or a lead offers the contacts and companies already linked to that record; there is no field for an address that is not in the CRM. That is why the supplier half of a job usually ends up in Outlook or Gmail, and the deal only ever tells half the story.

MailAnyone is an app for Bitrix24 that removes exactly that constraint. It adds a tab on the deal and on the lead where the recipient is simply an address you type — one you have never used before is fine — and the message goes out over your own company mailbox. The address does not have to exist anywhere in your CRM before you use it, and it is not put there afterwards.

Open the deal, go to the MailAnyone tab, type the supplier's address in the To field, write the message and send it. You can pick a saved supplier from the autocomplete or type an address the app has never seen; both behave the same. You can add Cc recipients, attach files from your computer, and attach files that are already stored on the deal.

If you send the same request often — a quote request, a site visit — a template fills in the client's name, the category, the postcode, the urgency and a link back to the deal straight from the record. Any field that came back empty is marked in the draft, so you find out before you send rather than in a reply asking what you meant.

No. The recipient is an ordinary email address and gets an ordinary email. They need no Bitrix24 account, no licence, no login, and no awareness that Bitrix24 is involved at all. They read it and reply in whatever mail client they already use.

There is nothing for them to install and no portal for them to join. From their side it is a normal message from your company's mailbox, with your colleague's name on it.

No. MailAnyone never creates a lead, a contact or a company. The app does not call Bitrix24's record-creation methods at all, so emailing an address you have never used before adds nothing to your CRM.

That is rather the point. Your customer list stays a list of customers, your lead count stays a lead count, and reports that segment by source keep meaning what they meant. If you want to keep an address for next time there is an explicit "save as supplier" box — and that supplier list lives inside the app, not in your CRM.

Back to the deal. MailAnyone checks the connected mailbox about once a minute, and when a reply arrives it works out which conversation it belongs to and writes it into that record's timeline, with its attachments. The match is made from the mail headers of the message you sent — In-Reply-To and References — which is exact. A subject-line code such as [DEAL-4821] and the sender's own address are used as fallbacks, and a fallback match is flagged for a human to confirm rather than trusted quietly.

When the match is exact, the user responsible for the deal gets a Bitrix24 chat notification with a link straight to the record. Out-of-office replies and delivery failures are attached to the conversation as well, but they never raise a notification. If a reply cannot be matched at all, an administrator can see it in a review screen and attach it by hand.

Your own. An administrator connects the company mailbox once, with its SMTP and IMAP details, and every message goes out through that server, from that address. There is no relay of ours in the path, no sending domain of ours in the From line, and no footer added to your message. The supplier sees your company, and deliverability is your own domain's rather than a shared vendor's.

It is one mailbox per portal, not one per user: everyone in the company sends through the same address, under their own display name and their own signature. You will need SMTP and IMAP with a username and password — an app password for Google Workspace or Microsoft 365 — because connecting a mailbox by OAuth is not supported today. A test button checks both connections while you set it up.

$15 a month, or $150 a year, per Bitrix24 portal rather than per user. Everyone in the company can use it for that one price, and the annual plan is ten months' money for twelve months' use.

There is a 7-day free trial and it does not ask for a card: install it, connect a mailbox and start writing. If you do not subscribe when the trial ends, sending stops — your history, templates and supplier list stay where they are and stay readable.

Deals and leads. MailAnyone registers its tab on the deal detail page and on the lead detail page, and each conversation belongs to the record it was started from. Contacts, companies, quotes, invoices and smart processes are not supported today — if you need to write to someone from one of those, this app does not do it yet.

Cc: yes, on any message. Attachments: from your computer, and from the files already stored on the deal, up to 20 MB in one message. It is not a general Bitrix Drive browser — it offers the files that are on the record you are writing from.

Bcc works differently, deliberately. Nobody sets a blind copy per message. A director can set a standing hidden copy — for everything, for one deal category, or for one employee — and the person sending never sees it, in the compose form or afterwards in the timeline. It is oversight without the theatre, and without a per-message box that somebody would forget to tick.

No, and the way it connects is what lets it say so. It asks your IMAP server for message headers only, and downloads a message body just when those headers prove the message is a reply to something sent from a deal. Messages are not marked as read on the way past.

For everything else — invoices, internal mail, private correspondence — it keeps the message's technical identifier and its position in the mailbox, so an administrator can attach it by hand if the matching missed it. No sender, no subject, no body, no copy. What it does store is encrypted at rest, and uninstalling the app deletes everything belonging to your portal.

A Bitrix24 portal where you are allowed to install an app, and a mailbox with SMTP and IMAP that you can log into with a username and password. That is the whole list. The mailbox your company already uses is the right one; you are not being asked to create a new address or move your mail anywhere.

The app's own interface is in English, French and Italian. This website is in more languages than the app is — the switcher at the top of the page says which.

It is not a mass-mailing tool: one message at a time, written from a deal or a lead. There is no open tracking, no tracking pixel and no click tracking, so a message sent through it tells you nothing about whether it was read. There are no scheduled sends and no drafts, and the message body is deliberately plain — bold, italic, underline, links and lists, but no images, tables or colours.

It polls the INBOX of the connected mailbox, so a server-side rule that files supplier mail into a subfolder before the app sees it will break reply matching. And because it sends over SMTP without writing a copy back over IMAP, a sent message appears on the deal rather than in the mailbox's Sent folder, unless your provider puts it there itself.
